Please find below an overview of how we collect and process your personal data and an overview of the rights you are entitled to according to the applicable data privacy laws. We will also provide you the contact details of contact persons in case you have further questions or enquiries regarding how we process your personal data.

Scope of the Privacy Policy

By “processing of personal data” the legislator means activities such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure, or destruction.

Personal data is any information that relates to an identified or identifiable natural person.

What personal data do we process?

When you visit our website, the webserver may automatically collect information on your visit such as:

  • Protocol data (for example the IP-Address, the type of the browser used; the pages of the Allanz Foundation’s website you visit; the date and duration of your visit on the website).

We may also collect the following categories of personal data:

  • Identification data (name, surname, form of address, title, gender);
  • Contact details (postal address, email, phone number);
  • Application documents (education, cover letter, name of former employers, diplomas, CV, picture, job references);  
  • Interaction data (information on your interests and wishes or any other information you share with us by sending us an email or by any other mean).

How do we process your personal data?

Contact form (“Get in touch” or per email)

You have the possibility to contact us via the contact form available on our website. By providing you with a contact form, we want to make it easy for you to step in contact with us. You can however also directly contact us by e-mail at info@allianzfoundation.org.

In the event you contact us, we will process the following categories of personal data:

  • Identification data
  • Content of your message

Your personal data will be processed and stored for the purpose of individual communication with you. We need to process your name and a valid email address to classify your request, handle and answer it.

The legal base for the processing of your personal data is our legitimate interest in handling your request and answering potential additional questions, pursuant to Art. 6(1)(f) GDPR. However, if your request concerns one of our offer, the legal base for the processing of your personal data will then be Art. 6(1)(b) GDPR, namely the performance of a contract since the processing is necessary in order to take steps at your request prior to entering into a contract.  

Your personal data will be deleted max. 2 years after your request has been handled. If a contract has been concluded following our exchanges, your personal data will be kept as long as required by the applicable commercial and tax laws and deleted after the legal retention periods have expired.

Newsletter 

If you sign-up to our newsletter, we will use your email address for sending you information on our forthcoming projects, funding programs and events. The processing of your personal data is based on your consent (Art. 6(1)(a) GDPR). In order to obtain your consent, we use the so called “double opt-in” method, which means that we will send you an email (newsletter) only after you have expressly confirmed by clicking on a confirmation link we will send to you after the digital registration, that you allow us to send you newsletters.

You have the right to withdraw your consent or to object to the processing at any time but only for the future by signing-out from our newsletter. To do so, you just have to click on the unsubscribe link available in our newsletter’s emails or by contacting our Data Protection Officer at allianz-foundation@2b-advice.com.

For the sending of our newsletter, we use the service of Newsletter2Go / Sendinblue (address: Köpenickerstraße 126, 10 179 Berlin, Germany). From a data protection perspective, Newsletter2Go GmbH is to be considered as a Processor since it processes personal data (email address of the subscribers) on our behalf.  Allianz Foundation has taken appropriate steps to ensure that the Processor has implemented technical and organizational measures to ensure the security of your personal data. Application procedure for project funding

In the framework of the application procedure, Allianz Foundation will process the personal data (contact details and identification data) of the contact person mentioned in the application form. The legal base for processing the personal data of the contact person is Art. 6 (1) (f) GDPR, namely the legitimate interest of the grant-seeking organization and the Allianz Foundation to communicate effectively with each other and to ensure a smooth application procedure. The personal data will be processed for assessing the application and for communication purposes only. The data subject has at any time the right to object to the processing. If the application is rejected, the personal data of the contact person will be deleted two years after the notification of rejection. Otherwise, we will keep the application form and the personal data of the contact person for a period of ten years following the end of the funding.

To process your application, Allianz Foundation uses third-party services – our data processors. Allianz Foundation uses Microsoft 365 to manage and review the submissions. Microsoft’s privacy policy is here. The application form on the website runs via the Getform.io platform. Getform.io’s privacy policy is available here. The application form is protected from spam and bots via the third-party service hCaptcha. hCaptcha's privacy policy is here. Submissions on the application form are transmitted by the third-party service Zapier to Airtable. Airtable is used to manage the submissions. To enable an assessment by non-German speaking colleagues and jury members, please note that application documents submitted in German will be translated to English using the translation service DeepL Pro. Application procedure (Allianz Foundation Fellows Program)

In the framework of the application procedure for the Allianz Foundation Fellows Program, the Allianz Foundation will process your personal data (name, contact details, etc.) for reviewing the application, assessing your eligibility to apply for a Fellowship, as well as for documentation and verification purposes. The legal base for processing your personal data is Art. 6 (1) (b) GDPR, namely the execution of pre-contractual measures prior to entering into a fellowship agreement and to communicate effectively with each other to ensure a smooth application procedure. If your application is rejected, the personal data you have submitted will be deleted 24 months after the notification of rejection. Otherwise, we will keep your personal data for a period of ten years following the end of the Fellowship.

To process your application, Allianz Foundation uses third-party services – our data processors. Allianz Foundation uses Microsoft 365 to manage and review the submissions. Application procedure (Jobs)

In the framework of the application procedure, we process the personal data that you’ve sent to us per email for the purpose of assessing your application and performing the work contract in the event that your application is successful. The legal basis for the processing is Art. 6 (1)(b) GDPR, namely the execution of pre-contractual measures, and Art. 26 of the German Data Protection Law. We usually process the following categories of personal data:

  • Identification data
  • Contact details
  • Application documents

We may also process in exceptional cases sensitive personal data (e.g. health data), if you share it with us, for example by mentioning it in your CV. We usually collect your personal data directly from you. If it is not the case, we will inform you.

If your application is rejected, we will delete your personal data after a period of 6 months after the date of notification of rejection. We defined a retention period of 6 months according to our legitimate interest in being able to enforce our legal interests in the event of legal action undertaken by rejected applicants.

If your application is successful, we will inform you on due time on the further processing and retention of your personal data.

The Movers of Tomorrow Award

As part of the nomination, application and voting process for the Allianz Foundation Movers of Tomorrow Award, the Allianz Foundation processes your personal data (first name, surname, contact details, etc.). This is done to check the nomination and application, to check the eligibility for nomination and application and for documentation purposes. Personal data is checked as part of the voting process to verify eligibility. The legal basis for the processing of your personal data is Art. 6 para. 1 lit. b GDPR.  

Your data will only be stored for as long as is necessary to carry out the nomination and selection process and for any alumni activities. Specifically, this means

  • Nomination data: Will be stored for the duration of the selection process.
  • Application data: Will be stored until the selection process is completed and beyond that for the duration of any alumni activities.
  • Statutory retention periods: In certain cases, data must be stored for longer due to legal requirements.

After these periods have expired, your data will be deleted unless there are further statutory retention obligations.

In order to process your nomination and application, the Allianz Foundation uses the services of third-party providers - these are to be regarded as data processors from a data protection perspective. The nomination form on the website runs via the Getform.io platform. Getform.io's privacy policy is available here. The entries in the nomination form are transmitted to Airtable via the third-party provider Zapier. Airtable is used to manage and view the nominations. Use of Matomo

Matomo is a web analytics tool for tracking visitors of websites. The following personal data is collected and processed for the statistical evaluation of user’s behaviour:

  • Anonymized IP-Address;
  • Information on the activity of the visitor (viewed pages, Country/approximate location, Browser type, operating system, duration of visit).

The legal base for the processing of personal data is Art. 6 (1) (f) GDPR, namely our legitimate interest in the statistical analysis of user’s behaviour for optimization purposes.

Cookies

A cookie is a small text file that a website stores on your computer or mobile device when you visit that website. The cookies can be defined as first party cookies (set by our website) or third party cookies (set by a third party). By law, we may store cookies on your device if they are strictly necessary for the operation of this site ("strictly necessary cookies") without your consent. For installing other kind of cookies that are not strictly necessary (e.g., statistical cookies; marketing cookies), we will ask your prior consent.

Preference cookies enable a website to remember information that changes the way the website behaves or looks, like your preferred language or the region that you are in.

Your privacy rights

You can exercise a range of privacy rights with regard to the processing of your personal data.

Right of access and rectification

You have the right to obtain information on the categories of personal data concerning you we process. If the personal data is inaccurate, you can ask us to correct the data, or, if it is incomplete, to complete it. If we have transferred your data to third parties, we will inform the third parties in question and ask to take the appropriate steps to enable you exercise your rights.

 

Right to erasure

You can request the immediate deletion of your personal data under the following circumstances:

  • When your personal information is no longer needed for the purposes for which it was collected;
  • If you have revoked your consent and there is no other legal basis for data processing;
  • If you object to the processing and there are no overriding legitimate reasons for further processing the personal data;
  • If the processing is unlawful;
  • If your personal data must be deleted in order to comply with legal obligations.

Please note that before deleting your data we must check whether there is not a legitimate reason for further processing your personal data.

Right to object to the processing

If the processing is carried out in the public interest or on the basis of a balance of interests, you have the right to object to the processing for reasons arising from your particular situation. In the event of an objection, we will not further process your personal data, unless we can prove compelling reasons for processing your data, which override your interests, rights and freedoms, or because your personal data serve to assert, exercise or defend legal claims. The objection shall not preclude the legality of the processing carried out up to the time of the objection.

Right to data portability

Upon requests, you have the right to receive personal data you provided us in a transferable and machine-readable format.

Right to lodge a complaint with a supervisory authority

We try to process your requests and claims as quickly as possible in order to protect your rights appropriately. However, depending on the number of enquiries, it may take up to 30 days before we can provide you with further information about your request. If it should take longer, we will inform you promptly of the reasons for the delay and discuss the further steps with you. In some cases we may not or cannot give you any information. If legally permissible, we will inform you of the reason for refusing to disclose the information. However, should you not be satisfied with our answer and responses or should you be of the opinion that we are violating the current data protection law, you are free to contact our Data Protection Officer or file a complaint with the relevant supervisory authority.
